Responsibilities
Serve as the primary point of contact for inquiries, both in person and over the phone. Provide courteous and professional assistance to clients, visitors, and students, addressing their queries promptly and directing them to the appropriate personnel when necessary, as well as facilitating tours
Manage calendars, scheduling appointments, meetings, and conference calls. Coordinate with internal and external parties to arrange appointments, ensuring optimal use of time and resources
Assist in the preparation of documents, reports, presentations, and correspondence as required. Maintain accurate records and files, ensuring information is organized and easily accessible
Facilitate communication between department staff and external stakeholders. Relay messages, follow up on action items, and ensure timely responses to inquiries
Maintain office supplies inventory and reorder supplies as needed. Keep the office environment tidy and organized for optimal efficiency
Assist in the planning and execution of departmental events, including meetings, workshops, and conferences. Coordinate logistics, such as room booking, catering, and audiovisual equipment setup, to ensure successful outcomes
Input data accurately into relevant databases or systems. Maintain confidentiality of sensitive information and adhere to data protection policies and procedures
