Facility Administrator

Responsibilities

Support a wide variety of HR-related administrative functions
Work with leaders and employees at all levels, ensuring communication is professional and timely
Maintain confidentiality and uphold company policies and core values
Assist Learning & Development with New Hire Orientation: office tours, parking tours
Ensure all office functions are conducted efficiently and accurately
Collaborate with Facility Administrators at other locations to maintain consistency across all sites
Chair, Plan and Lead the Fun Committee meetings
Schedule facility maintenance and manage inventory
In partnership with building management, monitor security, surveillance, and alarm systems
Oversee office upkeep, including cleanliness, kitchen areas, and appliances
Review vendors periodically to maintain strong partnerships
Perform other facility-related duties as assigned
Decorate for holidays and maintain a welcoming environment
Manage day-to-day office operations, supplies, and equipment
Obtain cost estimates and order approved equipment, supplies, and services
Ensure incoming mail, faxes, and deliveries are distributed promptly
Ensure outgoing mail and overnight deliveries are shipped on time
Greet all visitors in a professional, polite, and courteous manner
Answer and route calls from the Osmose corporate phone line
Order approved equipment, supplies, and services as needed
Orders office supplies (Order through Melissa – put in a red ticket on the homepage)
Arrange for new hire cubicle setup: wipe down cubicle, name plate, Kleenex, Welcome sign
Manage YoDeck (Lobby TV and Steel TV)
Handle mail when needed
Book travel for field crews and serve as administrator for corporate travel website (Melissa & Julie N)
Arrange for 5th floor passes & parking passes for 191 & 221 parking garages
Manage Marta Bus passes
Order and pick up lunches for business meetings as needed
Assist leaders with catering coordination and event planning
Ensure food, beverage, and meeting needs are met for internal gatherings
Maintain beverages, snacks, and general office supply levels
Oversee monthly team activities, holiday celebrations, and birthday recognitions
Support events that strengthen team connection, morale, and company culture
Plan & cater social events for the 5th floor – approximately 4 times a month
Maintain the 191 Monthly Calendar
Coordinate baby showers, birthday cupcakes, retirement parties, and other celebrations
Assist EA with board meetings, town hall meetings, and other C-suite functions
Back-up for EA as needed
Oversee the Hallmark Program, ensuring milestone moments are recognized and celebrated
Support initiatives that reinforce care, appreciation, and community within the organization
Oversee the Osmose employee store
Performs any other duties as assigned

Required

High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience

Ability to work and communicate with all levels of employees and management
Detail oriented, accurate and timely in production of requested material or assignments
Ability to multi-task and work independently
