Responsibilities

This position assists program managers in delegating duties to manage the unit's operational needs
This position conducts research and compiles information on behalf of the unit
This position assists with reports related to unit services, performance and projects
Develops and maintains process and procedures for the Unit’s operational needs, identifies best practices for program area duties that relate to scanning or data entry; and maintains tracking spreadsheets for various complaints and inquiries while units are being established in LSCS
Monitor and analyze workflow and productivity at the intake level to develop and document team tasks, work processes and procedure manuals
Create, revise, and implement specific unit procedures related to workflow, coverage, correspondence, and timeliness
Collaborate with unit staff members to identify needs and design processes for providing services and support functions in an efficient manner and streamline coordination among various work groups
Participate in unit and division process improvement projects and activities; identify opportunities that can streamline program area workflow, working with the Subject Matter Expert (SME), Program Manager and/or Policy Advisor to ensure new programs objectives are met, increase efficiency and customer service
Engage support team members in process improvement efforts and in adapting to new processes and procedures to ensure that everyone is informed and has the understanding and tools needed to succeed
The position is relied on by the Program Manager, SME and/or Policy Advisor to develop best practices for intake when designing complaint forms, implementing new programs into Salesforce and updating content for the program areas external web pages
The position stays current with ever-changing labor laws specific to that program area
The position will be relied upon by management to seek opportunities to incorporate value added services for both external and internal customers
This position is responsible for initial claim intake of all incoming wage and hour complaints
Each year, on average, the Division receives 3,000 to 4,000 wage complaints
This position performs the initial evaluation of each wage complaint, and decides if any evidence is needed before transferring the complaint to Preliminary Investigation
This position utilizes the Division’s software programs and other sources to research and correct claim party mailing addresses; without the correct information, the investigation cannot commence
This position adheres to and applies all Division policies, processes and procedures applicable to wage claim investigations
The position prioritizes work to ensure that all tasks are completed in an efficient and timely manner
The position observes and adheres to statutory due dates in order to decide what action should be taken
This position prepares and reviews reports for the initial claim intake to identify solutions, and achieve efficiency within the wage claim process
This position is responsible for responding to investigation phone calls, providing the correct information based on their knowledge of Colorado wage and hour law
This position is also responsible for funneling any email inquiries in the Labor Standards email inbox to the Compliance Investigators, while deciding which inquiries to answer themselves
This position is responsible to provide clerical support for email and written inquiry assignments, certain aspects of claim investigations, including but not limited to mailings, process and procedure review, document redactions, labeling and assigning emails within the labor standards inbox, scanning and uploading claim related material to Salesforce or the appropriate network drive, and preparing and responding to certified copy requests
This position is responsible for communicating with the public on a range of matters, helping resolve issues claimants have with filing their claims, answering questions on policies and procedures, status updates on claims, and any other inquiry from the public they may receive
The position will need to determine when to escalate inquiries, determine if claims have been assigned and transfer claimants to the proper Compliance Investigator, route inquiries to the correct department, and assist other support staff with communication when needed
Monitoring, evaluating, responding to, or referring phone calls, sorting and routing mail, e-mail, electronic fax and in-person inquiries including determining the applicability of laws under the division’s jurisdiction and ability to assist the customer by assisting with completion of forms, record requests and searching the database of complaints and referring to the appropriate compliance investigator as directed by the supervisor
Determines the nature of a customer’s concern, responds to questions that fall under the division’s authority and refers them to the appropriate agency or resource such as the United States Department of Labor, Civil Rights, or a private attorney
This position also provides information regarding other CDLE programs and offices of the Department and assists with navigation to CDLE’s website and to those specific programs or offices
The position will be responsible for data research projects related to specific program areas
Many of these projects will require independent research, data gathering and analysis
These reports will be used by management to report on Wildly Important Goals, ad hoc requests from the Governor's office, legislators and other requests for programmatic impacts
The position will be responsible for gathering data onto a spreadsheet, possibly researching addresses and registered agents of each employer
The position will need to document specific data for record purposes; coordinate with policy advisors and compliance investigators on reports
This position is part of a team responsible for various projects and initiatives within the Division
This position will serve as an adaptable resource for Division projects as assigned and may provide expertise in project strategy, etc

Required

You must be a resident of the state of Colorado in order to be eligible to apply
Four (4) years of professional experience in an occupational field related to the work assigned to the position
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years
Demonstrated written communication skills, including the ability to relay complex and detailed information to various stakeholders in a clear, accurate, and concise written manner
Demonstrated attention to detail in order to ensure accuracy, thoroughness, and consistency of all analyzed information
Critical thinking and analysis skills, including having the ability to evaluate and analyze applicable information in order to apply knowledge and ensure compliance
Organizational skills, including planning, prioritization, and time management in order to meet deadlines
Demonstrated ability to understand and abide by workplace principles, practices, and behaviors as internally identified and defined by the division

Professional demeanor
Knowledge and understanding in the use of PC software applications including Microsoft Office (Access, Word, Excel, etc.), and Google Suite (Doc's, Sheets, Slides, etc.)

Preferred

Knowledge of Colorado labor laws
Salesforce Experience
Experience using Google Workspace, including Google Mail, Google Calendar, and Google Drive
Performing duties similar to those assigned to the position as a classified State of Colorado employee
