Documenters Program Assistant

inewsource is a community-focused nonprofit newsroom dedicated to impactful journalism in the San Diego region. The Documenters Program Assistant supports the Documenters Program Manager with daily operations, communications, and coordination to enhance community-informed local news and build trust between communities and local government.

Responsibilities

Support the Documenters Program Manager in day-to-day program operations and logistics
Identify and help secure sites for Documenters trainings; assist with scheduling and coordination
Manage program workflows and maintain internal tracking documents, spreadsheets and reporting data
Support payroll-related processes for Documenters, ensuring timely and accurate submissions
Assist with tracking Documenters participation, assignments and deliverables
Help maintain organized records related to trainings, partnerships and program activity
Assist with preparing materials, logistics and communications for Documenters training sessions
Plan/coordinate community engagement activities/events
Plan/coordinate Documenters engagement activities/events
Attend and provide on-site or virtual support during trainings, workshops or public-facing events
Support outreach and follow-up with training partners, participants and community organizations
Assist with recruiting community members to attend Documenters trainings
Attend trainings, events and outreach opportunities as needed to help represent the Documenters program and support program growth and visibility
Help manage/develop the Documenters community on Discord
Support outreach communications to Documenters, editors and partners regarding assignments, notes and deadlines
Support content production needs for Documenters newsletters, CTAs or other audience-facing materials as directed
Help manage and update Documenters trackers used to coordinate information-sharing with editorial teams
Provide administrative or production support for Documenters-related editorial projects when requested
Assist the Program Manager with special projects, including collaborations with the editorial team, as time and capacity allow

Required

Understanding of the Documenters program model and community-powered journalism principles (training provided)
Basic news judgment and familiarity with local news and civic processes
Awareness of best practices for community engagement and public-facing communications
Ability to manage multiple workflows, calendars and deadlines simultaneously
Strong attention to detail in tracking data, schedules and deliverables
Clear, professional written communication for emails, social media and program materials
Detailed-oriented with an ability to assist with copywriting and proofreading for audience-facing content
Comfort using Google Workspace tools (Docs, Sheets, Calendar)
Ability to use tools such as Canva or similar platforms for basic content creation (training provided)
Willingness to learn basic web publishing or content management skills as needed
Works effectively with supervisors, teammates, community members and external partners
Communicates clearly, respectfully and in a timely manner with internal and external stakeholders
Manages tasks efficiently, meets deadlines and adapts priorities as needed
Willing to shift duties as organizational needs evolve
Takes direction well while proactively identifying ways to support program success
Proficiency in spoken and written English required; proficiency in Spanish is a strong plus given the communities served
