Clerkship Program Coordinator
Belmont University is seeking a qualified Clerkship Program Coordinator to support medical student clinical education programs within the Department of Integrated Clinical Education. This role is essential for the coordination and efficient functioning of clerkship programs and involves assisting students, liaising with clerkship sites, and managing various administrative tasks.

Responsibilities
Assist students with scheduling clerkship rotations in the primary clinical training phase of the curriculum, scheduling rotations in the final phase of the curriculum (individualization phase), addressing inquiries, and providing guidance on program requirements
Coordinate orientation sessions for incoming students, ensuring they are familiar with clerkship/rotation policies and procedures
Serve as a resource for students throughout their clerkship/rotation experiences, addressing any concerns or challenges they may encounter
Liaise with clerkship sites to facilitate student placements, ensuring alignment with educational objectives and site requirements as well as faculty sufficiency for the needed experience
Coordinate logistics for student rotations, including scheduling, transportation, and accommodation arrangements as needed
Maintain accurate records of site affiliations, preceptor assignments, faculty appointments, and student evaluations
Provide administrative assistance to the Vice Chair of Clinical Affairs, including scheduling meetings, preparing agendas, and maintaining documentation
Assist with the development and distribution of educational materials, such as handbooks, manuals, syllabi, and training resources
Manage clerical tasks related to clerkship program operations, such as data entry, filing, and record-keeping
Organize special events and activities related to clerkship and clinical programs, such as orientation sessions, workshops, and networking opportunities
Coordinate logistics for educational events, including venue selection, catering arrangements, and audiovisual support
Collaborate with faculty and staff to ensure events are well-planned and executed effectively
Maintain regular communication with stakeholders, including students, faculty, site coordinators, and external partners
Disseminate information about clerkship program and clinical rotation updates, policies, and deadlines through various communication channels
Assist with outreach efforts to promote clerkship/clinical opportunities and recruit preceptors and clinical sites
Assist OMEFS in the collection of data related to student performance, site evaluations, and program outcomes for analysis and reporting
Participate in quality improvement initiatives aimed at enhancing the effectiveness and efficiency of clerkship and clinical programs
Qualification
Required

Project/Program/Service Management: Ability to coordinate and administer programs/project activities and protocols. Ability to manage resources, monitor activities, and assess risks and quality issues associated with the program/project
Written and Oral Communications: Ability to present information to individuals or groups; ability to deliver presentations suited to the characteristics and needs of the audience. Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution's strategic objectives
Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software
Experience working in a fast-paced environment and the ability to respond to high-pressure situations. Ability to thrive in an environment of hard work
Ability to work effectively with a wide range of constituencies in a diverse community
High school diploma or GED required
1-3 years experience in program coordination or administrative support, preferably in medical education setting
Preferred
Bachelor's degree in health administration, education, or related field
