Responsibilities

Deputy Registrar for vital records: Responsible for electronically reviewing, signing, and processing birth (includes in-home births) registrations and death registrations using the electronic birth and death registration systems. Responsible for completing burial transit and disinterment/reinternment permits received from funeral homes, hospitals, and physicians
This includes reviewing certificates for accuracy, and returning registrations containing inaccurate or missing information to the funeral home, physician, medical examiner's office, etc. Maintain paper records of vital records per the Records Retention Policy
This position is primarily responsible for a multi-line switchboard and assists in scheduling for Health Department clinic services as well as directing callers upon request and as needed, to clinic staff and/or various other departments. Also directs public requesting information pertaining to other county services to the right establishment, such as Department of Social Services, County Personnel Office, County Finance Office, Register of Deeds office and other county agencies. Clinics are on-going daily with a high volume of telephone calls from patients
Duties include but are not limited to; scanning flu data sheets, shot records, and other required data into Patagonia, assist in all scanning of medical records, lab results, and other documentation. This position assists in performing audits on all records scanned by staff members and contracted companies, making sure that files are linked to the correct client in Patagonia and named properly
This position is a backup for taking the daily deposits and interoffice mail to all other county departments
This position ensures that incoming mail including courier mail is sorted and date stamped
This position is required to attend departmental staff meeting, team meetings and trainings
Recommends changes in work procedures to immediate supervisor, addressing any changes in policies and procedures pertaining to duties and information provided to the public/patients concerning health department services
This position will assist Nursing Director with Medical Record releases. This position assists with the mailing of monthly patient statements
This position will cross train to perform Processing Assistant IV duties as needed

Required

Graduation from high school and demonstrated possession of knowledge, skills and abilities gained from at least two year of office assistant/secretarial experience; or an equivalent combination of training and experience
Valid N.C. Driver's License
General knowledge of office or work unit procedures, methods and practices
Ability to learn and apply a variety of guidelines
Ability to use a variety of office equipment
Ability to deal with people with courtesy and tact
Ability to screen communications based on predetermined guidelines to independently respond or route inquiries
Ability to record and compile information based on general guidelines
Ability to gather and give information and instructions regarding the work process or procedures
Ability to learn to use specialized office equipment
Ability to lift and carry boxes/cases weighing up to 30 pounds
Obtain Notary Public appointment after hire
