Responsibilities
Coordinate the logistics of events, including timelines, run-of-show documents, and execution plans from planning through teardown
Source and coordinate venues, hotels, catering, A/V, production partners, and transportation providers
Book and manage air, hotel, and ground transportation for internal stakeholders and event participants, handling changes and VIP logistics with speed and discretion
Support registration workflows through Cvent, coordinate event materials and branded assets, track budgets and reconcile expenses
Serve as the communication hub between events, marketing, leadership, and operations
Lead the debrief process after each event and drive improvements for the next one
Qualification
Required
2–6+ years of experience coordinating corporate events, conferences, or high-touch hospitality events with vendor management and logistics ownership
Proven ability to manage multiple simultaneous projects with high accuracy and clean documentation
Strong written and verbal communication skills with the ability to coordinate busy stakeholders without creating confusion
Commitment to in-office work (Topeka preferred; Phoenix considered) with the ability to travel occasionally for events
Comfort with occasional early mornings, evenings, or weekends around event schedules
High discretion and professionalism in handling internal plans, budgets, VIP travel, and leadership schedules
