Administrative Assistant
Ultimate Staffing is seeking a highly organized and detail-oriented Temporary Administrative Assistant to provide short-term support to their team. The role involves performing a variety of administrative and clerical duties to ensure smooth workflow across the department.
Responsibilities
Provide general administrative support, including answering phones, responding to emails, and managing correspondence
Schedule and coordinate meetings, appointments, and conference room bookings
Assist with document creation, editing, formatting, and filing (digital and physical)
Prepare reports, spreadsheets, presentations, and other materials as needed
Support data entry, record-keeping, and database maintenance
Help organize and maintain office supplies and inventory
Assist with onboarding support for temporary staff or contractors
Coordinate small projects, tracking deadlines and deliverables
Handle confidential information with discretion
Perform other duties as assigned to support team operations
Qualification
Required
Proven experience in an administrative, office assistant, or clerical role
Strong organizational and time-management skills
Excellent written and verbal communication abilities
Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office technology
Ability to multitask and prioritize in a fast-paced environment
High level of professionalism, reliability, and discretion
Adaptability to learn processes and systems quickly
Preferred
Experience with SharePoint, Teams, or other collaboration tools
Experience supporting business operations, HR, finance, or project-based workflows
Familiarity with CRM or internal business systems (specify if known)
