Client Relations Specialist - Portable Floors
Praters Flooring is a company specializing in portable flooring solutions, and they are seeking a Client Relations Specialist to serve as the primary liaison between the sales and operations teams. The role involves overseeing client communications, project coordination, and ensuring high-quality client satisfaction throughout each project’s lifecycle.

Responsibilities
Foster exceptional internal communication across all departments and deliver outstanding external customer and vendor support for Portables division projects throughout the full project lifecycle
Strengthen client relationships to drive long-term sales growth, customer retention, and ongoing appreciation initiatives
Maintain and manage a comprehensive master schedule for all Portables division projects, with a strong focus on NBA accounts, ensuring timelines are finalized and locked in at least 30+ days in advance
Client Communication & Relationship Management: Serve as the primary point of contact for arenas and venues following the completion of the quoting process
Venue Scheduling & Calendar Coordination: Secure and confirm installation, removal, and service dates for each portable flooring project with arenas and venues
Coordinate building access requirements, load-in/load-out procedures, dock availability, and key venue operations contacts to ensure seamless execution
Clearly communicate technician arrival schedules, project expectations, and required client responsibilities to ensure a smooth and successful execution
Technician Scheduling & Travel Planning: Assign technicians based on skill set, certification, and availability to ensure optimal project execution
Coordinate all travel logistics, including flights, hotel accommodations, and rental vehicles, while managing schedules to align with project timelines
Prepare and distribute comprehensive project briefs prior to departure, outlining the scope of work, site details, expectations, and operational objectives to ensure technicians are fully prepared
Partner with Praters, Inc.’s warehouse, logistics, and freight providers to coordinate and confirm delivery and pickup schedules in alignment with project timelines
Monitor and track court shipments to ensure on-time arrival within scheduled installation windows
Proactively identify and communicate potential delays, changes, or risks to internal teams and venue partners to mitigate disruptions and maintain project continuity
Manage and monitor operational budgets for each project, including technician labor, travel expenses, freight, and on-site costs
Forecast potential variances and proactively identify cost overages, partnering with leadership to implement corrective actions and maintain financial discipline
Deliver accurate, timely budget reporting and financial updates to ensure transparency and informed decision-making
NBA League Office Communication & Reporting: Serve as a key liaison to NBA League Operations, providing timely project updates, schedules, and detailed status reports
Maintain thorough documentation, communication logs, and comprehensive project summaries to ensure accuracy and accountability
Ensure all project execution and operational standards consistently align with NBA guidelines and expectations
Assist with maintaining the Smart Sheet/Matrix for the Portables division, load-in/load-out projects, and communicate real-time changes with schedules or scope of work to all impacted departments and team members
Contribute to continuous process improvements to the ongoing evaluation and enhancement of internal processes to improve project execution efficiency, strengthen client, customer, and vendor communication, and support long-term client engagement initiatives
Some travel may be required
Promote continuous learning by expanding your job knowledge and fostering ongoing training and personal development. Collaborate with experienced managers and team members across the organization to support training initiatives
Works with Division Managers and Support Staff to best utilize the resources of Praters, Inc. to ensure cohesiveness, efficiency, quality, and profitability. Cultivate an environment of unity among all divisions
Act as a backup to the portable floor Sales Specialist
Will always conduct themselves as a representative of Praters, Inc. and support Praters, Inc.'s missions and goals
Follows all company policies, procedures, and business ethics codes
Performs other related duties as assigned
Qualification
Required
2 to 4+ years of experience in Event, Agency Project, or Production Management
Experience working with venues, production crews, freight companies, and tight event deadlines
Proven ability to manage multiple high-pressure, multi-city event projects simultaneously
Strong decision-making skills and the ability to comfortably hold internal and external partners accountable
Exceptional customer service and communication skills with the ability to follow up with customers, providing clear, concise information in writing, via phone, or in person, internally and externally
Strong organizational skills and an eye for attention to detail
Ability to work effectively in a fast-paced, deadline-driven environment
Proficiency in Google Suite, Microsoft Office Suite, and other software applications
Strong knowledge of Mac and or Windows operating systems
Must have a valid driver's license and a clean MVR
