Responsibilities

Provides general administrative and clerical support to the Acquiring Department: Sends complimentary copies of books, sends form letters, creates project records in Title Management, maintains author addresses in Title Management, finalizes titles in Title Management, responds to general inquires via email and phone, provides back-up mail distribution
Coordinates peer-review: Sends queries to potential peer reviewers, sends manuscript packets and coordinates with reviewers on due dates, receives and anonymizes peer reviews, processes honorarium forms, tracks deadlines, maintains spreadsheets and records in Title Management, communicates with acquiring editors and authors on the status of the peer reviews
Provides administrative support for Publications Committee meetings: Creates book dockets by summarizing peer reviews, summarizing bios, summarizing book descriptions, gathering sales data, and pulling together and distributing materials; sends meeting agenda; prepares meeting room; takes and distributes meeting minutes
Supports final manuscript preparation: Assists authors with submitting final manuscript files, assists editors with clerical work related to preparing a final manuscript, occasional manuscript review as directed by Editor-in-Chief
Coordinates work of Acquisitions Department student worker: Provides student worker task list in collaboration with Acquisition Editors, reviews student’s work, participates in hiring, onboarding, and training
Provides administrative support for Editorial Advisory Board meetings: Creates and sends scheduling polls, calendars meeting event, sets up the meeting room, takes minutes, responds to queries from Editorial Advisory Board

Required

High school diploma or high school diploma equivalency
Minimum of 3 years of relevant experience, or equivalent combination of education and work experience
Interest in or knowledge of book publishing
Demonstrated aptitude for detail-oriented work, proactive communications, and task follow-through
Excellent organizational and time-management skills
Demonstrated ability to record and track details for several concurrent projects reliably and with accuracy
Excellent communication skills, both written and verbal; demonstrated aptitude for written correspondence, including a high level of accuracy with spelling, grammar, and punctuation
Excellent interpersonal skills to foster a positive team environment and constructive relationships with Press authors, peer reviewers, and Editorial Advisory Board
The skills and ability to work with an orientation toward customer service
Skill in coordinating the work of student employees
Skill in the use of personal computers and Microsoft Office applications
Ability to work in a highly collaborative environment, one that values and leverages the benefits of a variety of perspectives
Positive attitude and strong demonstration of UA Libraries' Values
