Responsibilities
Manage a shared email inbox and coordinate high-volume correspondence
Process drawings, RFI submittals, and all incoming/outgoing project documentation
Track submittals in OneNote and ensuring review cycles align with required due dates
Routing drawings to appropriate reviewers and following up to ensure approvals
Monitor bottlenecks, delays, and overdue items
Prepare 11x17 bound books and hard copy drawing sets for shipment to construction sites and other project partners
Engage with project managers, engineering leads, and construction personnel (team sizes typically around 10)
Support multiple ongoing projects
Qualification
Required
2–4 years of experience in a professional or administrative role
1+ years experience with scanning, PDF handling, and physical/online document libraries
Initiative-driven team player with a willingness to help wherever needed
Proficiency in Teams, OneNote, and SharePoint
Experience with ProjectWise, Bluebeam, or Adobe Pro (PDF modification)
Previous administrative support experience within construction or engineering environments
Experience with large construction or infrastructure companies
