Responsibilities

Serve as the first point of contact for clients and prospects—greeting visitors, answering calls, and creating a calm, professional environment
Manage the lobby and front office experience, ensuring clients feel welcomed, informed, and cared for
Support appointments by preparing materials, confirming details, and helping meetings run smoothly
Monitor shared inboxes and voicemails, routing messages accurately and promptly
Assist with basic service and administrative tasks, including preparing files, uploading documents to our CRM, and managing incoming forms and mail
Help maintain accurate client records and coordinate with service and new business teams to keep clients informed on next steps
Support client seminars and events by confirming attendance, making reminder calls, and following up with no-shows
Register callers for events and schedule appointments for inbound leads
Help prepare event materials, client packets, and follow-up resources
Keep the front office organized, stocked, and running smoothly
Assist leadership and internal teams with occasional administrative projects
Consistently reflect The Life Group’s values and commitment to a high-standard client experience

Required

A warm, friendly, and professional communicator—on the phone and in person
Highly organized with strong attention to detail
Calm under pressure and able to manage multiple priorities
Service-oriented, proactive, and solution-focused
Comfortable guiding conversations and assisting clients confidently
A collaborative team player who enjoys supporting others
Tech-savvy and able to learn tools like Google Workspace and Redtail CRM
Strong communication and phone presence
Ability to work on-site at our Dubuque office (client-facing role)
Alignment with The Life Group's culture and values

Preferred

Previous experience in customer service, hospitality, front desk, or administrative roles preferred
Interest in financial services and long-term professional growth is a plus (but not required)
