Responsibilities

Support daily program operations to ensure activities, timelines, and program goals are met and align with grant requirements and program metrics
Coordinate program logistics, including scheduling of participant classes with community partner class centers, and Techedify education partner, meetings, trainings, and broadband awareness and enrollment engagement activities
Coordinate with Techedify to set-up computing devices to be ready to access class platform at community centers and for participants
Coordinate, track, deliver, and ensure the security of computing devices to partners and participants as directed by Program Manager
Serve as a main point of contact for participants regarding class sign-ups and schedules, documentation, and program processes
Track program milestones, deliverables, and participant progress and report updates to the Special Program Manager and into tracking databases
Assist in optimizing and maintaining operational workflows and administrative systems
Scheduling calendar invites and meetings including agendas and note taking for program staff, participants, and partners as needed
Be a main point of contact for participants seeking class information and enrollment support
Coordinate participant intakes and assist with the completion of enrollment and eligibility documentation with Techedify partner, program centers, and leadership
Facilitate daily/weekly training sessions at designated class centers
Work closely with community centers, their staff and facilitators to deliver successful in-person classes
Ensure participants understand program expectations, commitments, and timelines, providing support and clarification as needed
Maintain regular communication with participants to promote engagement, retention, and successful outcomes
Support outreach and recruitment efforts as directed
Table at community events, and proprietary events to engage with a large audience for broadband awareness
Facilitate participant’s connection to resources and support low-cost broadband enrollment for households via resource sharing and communications
Handle material logistics of the program including ensuring any equipment and educational materials are provided to participants in a timely manner
Maintain confidential, accurate, and well-organized electronic participant and program files in SharePoint as directed by the Special Program Manager
Ensure accurate and timely data entry into databases in alignment with grantor and Chamber reporting requirements
Assist with the compilation of data for program analysis
Monitor records for completeness and compliance and flag discrepancies to the Special Program Director
Assist with gathering, verifying, and preparing documentation for billing, invoicing, and required program reports
Assist with scheduling and communicating reporting and key milestone dates and reminders to all program and affiliated staff
As directed, coordinate with external partners and other stakeholders both internally and externally
Support partner communications and efforts related to program activities and Chamber initiatives
Connect participants to education, training, and other opportunities as identified by the grant as directed by the Special Program Manager
Assist with the development and distribution of outreach and marketing materials, as directed by the Special Program Manager
Attend meetings, conferences, trainings and partner convenings on behalf of the program and Chamber as assigned
With the Program Manager, gather and finalize client stories, and create clear compelling impact reports to highlight the success of the program
Work with the Marketing and Communications department as directed to highlight program impact and client stories

Required

College degree or equivalent combination of education and relevant work experience
Minimum of 1-2 years in program coordination, administrative support, workforce development, education, nonprofit, or grant-funded programs
Experience working directly with clients, students, or program participants including enrollment and ongoing support, with a participant-centered approach
Strong organizational and time-management skills with the ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment
Demonstrated ability to manage day-to-day operations and logistics with attention to detail and accuracy
Experience maintaining organized, confidential records and working with databases and other CRM or case management systems
Proficiency in Microsoft Office (Word, Excel, Outlook) or the ability to learn new systems quickly
Excellent written and verbal communication skills, with the ability to communicate professionally with participants, partners, and funders
Strong interpersonal skills and the ability to work collaboratively with internal teams and external partners under the direction of program leadership
Ability to follow direction, guidelines, and established procedures while also seeking areas of collaborative and creative improvement
Ability to build and maintain positive working relationships with coworkers and external partners
High level of professionalism and integrity
Dependable, self-motivated, and able to work both independently and as part of a team
Flexible and adaptable, with the ability to respond to changing program and organizational needs and requirements
Candidate must reside within one of the CEDA project focus areas: Sacramento, Calaveras, or Stockton
