Administrative Assistant

LHH is partnering with a respected financial services organization in Baltimore to hire a proactive, professional, and highly organized Temporary Administrative Assistant to support their Business team. This role involves coordinating executive communications, managing meeting logistics, and providing administrative support to senior leaders in a fast-paced environment.

Responsibilities

Coordinate executive communications, including managing calls, responding to emails, and interfacing with vendors, internal stakeholders, and external clients
Organize and manage meeting logistics from start to finish, including scheduling, agenda preparation, materials coordination, and follow-up
Provide executive-level scheduling and administrative support, including preparation for board-facing activities
Assist with board and committee meeting logistics, calendar coordination, and ad hoc meeting requests
Maintain detailed records of investment or project-related meetings and ensure timely execution of next steps
Prepare and update project summaries, reports, memos, and presentation materials for internal and external use
Partner with sales and business teams to coordinate and execute travel logistics for roadshows, conferences, and marketing initiatives
Track and report sales activity and travel coordination on a monthly and quarterly basis
Support special projects as assigned
Maintain strict confidentiality and professionalism at all times

Required

Bachelor's degree required
Ability to prioritize and manage multiple projects in a deadline-driven environment
Strong proficiency in Microsoft Word, Excel, and PowerPoint; ability to quickly learn systems such as Salesforce and Smartsheet
Exceptional organizational skills with strong written and verbal communication abilities
Demonstrated tact, discretion, and sound judgment when handling sensitive information
Ability to work both independently and collaboratively

Preferred

2+ years of experience supporting a team in an Administrative Assistant or Administrative Analyst capacity preferred
Financial services experience is a plus
