Responsibilities
Provide administrative support to the Administrator and executives, including managing calendars, files, meetings, and coordinating processes to optimize efficiency
Prepare and distribute internal and external correspondence, memos, reports, and presentations to facilitate effective communication and information sharing
Maintain accurate and up-to-date records, files, and documentation, both electronically and physically, ensuring confidentiality and compliance with regulatory requirements
Coordinate and organize office meetings and events, including venue logistics, to ensure seamless execution
Conduct research and gather information to support special projects, reports, and presentations, contributing to informed decision-making
Serve as a primary point of contact for internal and external stakeholders, managing inquiries, redirecting calls, and providing prompt and helpful assistance
Collaborate with cross-functional teams, fostering effective communication and teamwork to enhance operational efficiency
Coordinate and track the progress of divisional projects, ensuring tasks are completed on time and following up on action items
Coordinated the accurate delivery of orders to doctors’ offices, conducted follow-ups, and ensured proper documentation and removal of completed orders and faxes from the systems
Established and maintained professional relationships with insurance case managers and facility representatives through regular phone and email communication
Maintain accurate and up-to-date records
Monitor and replenish office supplies and inventory, ensuring availability and operational readiness
Contribute to the development and implementation of administrative policies, procedures, and best practices, optimizing efficiency and effectiveness
Foster a positive and professional work environment, promoting teamwork and cooperation among staff members
Perform various administrative tasks to support the operational needs of the division
Organizing and maintaining administrative files and documents
Ensuring the confidentiality and security of sensitive information and documents
Maintains awareness of, and adheres to Policies, Procedures, Directives, Operational Memoranda, and accreditation standards as prescribed
Plan and execute office decorations for special occasions, including birthdays and holidays, to enhance workplace morale and team engagement
Develop marketing materials and manage the creation of content for social media platforms
Qualification
Required
High school diploma or equivalent
Proven experience as an administrative assistant, secretary, or similar role
Excellent organizational and time management skills, with the ability to prioritize tasks effectively
Strong attention to detail and accuracy in completing administrative tasks
Proficient in using office software (e.g., Microsoft Office Suite) and other relevant tools
Excellent verbal and written communication skills
Ability to handle confidential information with discretion and maintain strict confidentiality
Strong interpersonal skills and the ability to work well in a team-oriented environment
Flexibility to adapt to changing priorities and read lines
Preferred
associate or bachelor's degree
Previous experience in the healthcare industry or home healthcare setting
