Payroll Administrator
Kamaʻāina Kids is seeking a Payroll Administrator to support payroll operations for a large, multi-site workforce serving children and families across Hawaiʻi. This role is vital in preparing, reviewing, and coordinating payroll data internally, ensuring employees receive accurate and timely pay while maintaining compliance with payroll regulations.

Responsibilities
Act as the primary internal contact for payroll-related matters
Compile, review, and submit payroll data to an external payroll partner
Audit payroll registers and reports for accuracy and completeness
Process payroll corrections, adjustments, and reconciliations
Oversee timekeeping data across locations and programs
Track PTO, reimbursements, and special compensation items
Administer payroll deductions, including benefits and childcare discounts
Respond to employee payroll questions and resolve discrepancies
Complete onboarding steps, including I-9 verification
Enter and maintain employee records in HRIS and payroll systems
Support background checks and compliance documentation
Ensure onboarding activities are completed accurately and on schedule
Maintain organized payroll and personnel files
Ensure payroll and HR processes align with applicable regulations
Maintain documentation to support audits and reporting
Identify opportunities to improve payroll workflows and accuracy
Assist with internal or external audits as needed
Partner with HR leadership to support day-to-day operations
Provide coverage and continuity during high-volume payroll cycles or absences
Assist with broader HR initiatives and cross-functional projects
Qualification
Required
3+ years of payroll administration or HR/payroll experience
Working knowledge of payroll processing, deductions, and timekeeping systems
Experience coordinating with a payroll vendor or PEO
High attention to detail, accuracy, and confidentiality
Strong ability to prioritize tasks and remain focused in an environment with frequent interruptions
Solid organizational and time-management skills
Ability to manage multiple priorities and meet recurring deadlines
Proficiency with HRIS systems and Microsoft Office tools
Preferred
Experience with Proservice Hawaii
Experience supporting multi-site organizations
Familiarity with Hawaiʻi payroll and employment practices
