Responsibilities

Enter client payments, vendor invoices, and maintain accurate financial records.
Review subcontractor invoices for accuracy and completeness.
Assist with payroll entry and related tasks.
Maintain and update miscellaneous spreadsheets for financial tracking.
Provide high-level administrative assistance including organizing communications and weekly task reporting.
Assist with onboarding tasks for new employees.
Manage company celebrations (work anniversaries, team member birthdays, team events, client appreciation gifts).
Participate in and help plan the annual company retreat and holiday dinner.
Lead the creation of project proposal development for various Directors and lines of service. Ensure proposal and fee templates, CVs, and related collateral are current.
Create and publish engaging blog posts and case studies that align with our brand voice.
Ensure that the website is up to date with the content and team / project updates.
Manage the annual newsletter, annual report, and as needed marketing campaigns / email blasts.
Attend networking events to promote the company and establish new relationships.
Assist with award nomination submissions and presentations.
Support the marketing team with miscellaneous tasks as needed.

Required

Bachelor’s degree in Accounting, Marketing, Business Administration, or a related field (or equivalent experience).
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office required.
Excellent written and verbal communication skills.
Ability to work independently and collaboratively in a fast-paced environment.

Preferred

Experience with WordPress (preferred, but not required).
Experience with accounting software tools (BQE CORE preferred, but not required).
Familiarity with social media platforms and content creation tools.
Previous experience in accounting or marketing within the design and construction industry will be highly considered.
