Responsibilities

Manage and oversee all aspects of accounts payable operations through Bill.com, ensuring timely and accurate input of influencer data, invoices payable, and maintenance of supporting compliance and payment documentation

Direct the full accounts payable cycle from invoice receipt to payment disbursement, maintaining strict internal controls and approval workflows as a support system to final approval by CFO

Lead and monitor project-based payables, tracking expenses against budgets and ensuring alignment with project milestones and deliverables, in support of bookkeeper and CFO for reconciliation in Quickbooks Online

Oversee tax compliance processes, including:

Collection and verification of W-9/W-8 forms from vendors and contractors

Supporting in the preparation and timely filing of 1099 forms

Maintenance of accurate vendor tax documentation records

Manage confidential banking relationships and payment operations:

Safeguard sensitive financial and banking information via Google Sheets and Bill.com

Monitor and resolve payment and banking info discrepancies by communicating directly with influencers and campaign managers

Support influencer marketing campaigns by:

Entering influencer payments according to campaign terms

Coordinating with campaign managers on payment schedules

Tracking campaign-specific budgets and expenses

Ensuring compliance with influencer payment agreements

Develop and maintain accounts payable policies, procedures, and best practices to ensure efficiency and accuracy in support of CFO

Collaborate with operations and finance teams to:

Resolve payment inquiries and disputes

Support month-end close processes

Assist with annual audits and QoE reports, as applicable

Implement process improvements

Manage end-to-end Bill.com vendor payment process for influencers:

Verify completion of contracted deliverables and content posting

Cross-reference posted content against campaign requirements

Match payments to signed contract terms and payment schedules

Process vendor setup in Bill.com upon contract activation

Execute structured payment approval workflows:

Review and validate completed influencer deliverables

Batch similar campaign payments for efficient processing

Prepare payment summary documentation for CFO review

Queue approved payments in Bill.com for CFO authorization

Monitor payment status and maintain an audit trail of approvals

Document and track influencer payment milestones:

Create a payment tracking system linking contracts, deliverables, and payment schedules

Maintain database of payment terms and conditions by campaign

Log content posting dates and payment trigger events

Generate payment status reports for campaign managers

Ensure compliance with payment terms:

Confirm proper documentation before initiating payments for CFO approval

Verify payment amounts against contracted rates

Track any partial payments and payment holdbacks

Monitor payment timing requirements

Document any payment term exceptions or modifications
