Responsibilities

Ensure timely and accurate completion of subscription invoicing according to billing cadences.

Maintain contract files, account details, pricing information, and other key customer data within our third-party billing platform, Stax Bill.

Proactively engage with customers and internal Sales and Customer Success teams to resolve billing and order issues promptly.

Escalate inquiries regarding contract terms internally and collaborate with executive and legal teams as needed.

Perform daily order verification and entry into Stax Bill.

Collaborate with Sales, Customer Success, and Operations/Finance teams regarding account maintenance and customer invoicing.

Proactively reach out to customers regarding past-due balances and ensure timely collection.

Resolve collection issues for pending orders promptly.

Apply payments and issue credit notes as necessary.

Reconcile Accounts Receivable to the General Ledger and prepare reports for month-end close.

Assist in month-end closing activities related to revenue.

Assist with the implementation and ongoing maintenance of tax compliance with Avalara.

Build relationships with customer contacts and serve as a point of reference for key accounts.

Drive process improvement by proposing ideas to streamline or automate manual tasks.

Identify root causes of system or process issues and implement changes to prevent future errors.

Actively contribute to Stax Bill implementation phases and address ad hoc needs as they arise.

Required

3 - 5 years of experience in managing high-volume SaaS billing and account collections.

Extensive experience with Stax Bill, Zuora, or similar third-party billing platforms.

Working knowledge of NetSuite or similar accounting systems and Microsoft Excel required; Salesforce experience is a plus.

Thorough understanding of applicable accounts receivable/general ledger systems and procedures, financial chart of accounts, and corporate procedures, with strong problem-solving, documentation, research, resolution, data analysis, and multitasking skills.

Critical thinker who can resolve issues with little supervision.

Team player willing to assist with urgent workstreams as needed.

Exceptional written and verbal communication skills.

Strong organizational and time management skills.

Integrity to handle sensitive and/or confidential information with discretion.
