Responsibilities

Manage and schedule appointments for executives and team members.
Answer and direct phone calls, taking messages when necessary.
Prepare and organize documents, reports, and presentations.
Maintain filing systems both electronically and on paper.
Coordinate meetings, including arrangements for materials and catering.
Process and track invoices and expense reports.
Assist with travel arrangements, including booking flights and accommodations.
Support project management efforts by tracking deadlines and deliverables.
Maintain office supplies inventory and place orders as needed.
Respond to inquiries and provide assistance to staff and visitors.
Handle correspondence, including emails, memos, and letters.
Assist in the onboarding process of new employees.
Prepare meeting agendas and take minutes during meetings.
Assist with special projects and perform research as required.
Ensure compliance with company policies and procedures.

Microsoft Office SuiteBookkeepingCRM Software

Required

High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office equipment such as printers, copiers, and fax machines.
Strong verbal and written communication skills.
Ability to work independently with minimal supervision.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize tasks effectively.
Experience in handling confidential information with discretion.
Strong interpersonal skills and the ability to work well with diverse teams.
Basic understanding of bookkeeping and accounting principles.
Ability to troubleshoot basic technical issues related to office equipment.
Knowledge of office management systems and procedures.
Positive attitude and a willingness to adapt to change.
Valid driver's license may be required depending on job location.

Preferred

Associate's or Bachelor's degree preferred.
Experience with CRM software is a plus.
