Responsibilities
Schedule and confirm all appointments for the Branch Manager, ensuring robust follow-up and time management.
Manage the Branch Manager's emails and assist with time-blocking activities for optimal productivity.
Maintain a clean and organized workspace for the Branch Manager to enhance focus and efficiency.
Prepare and manage thank-you notes and birthday acknowledgments to foster client relationships.
Coordinate client gifting and manage first impressions to uphold the brand's prestige and personal touch.
Regularly update the client database to reflect recent transactions and communications.
Organize daily theme calls for the Branch Manager.
Follow up with leads in process to get them scheduled to speak with the Loan Officer.
Update the database.
Handwrite thank you cards.
Answer inbound calls.
Schedule initial appointments.
Qualification

Required
College degree or 2 years of prior administrative work experience.
Proven administrative or assistant experience, ideally within a mortgage, real estate, or financial services environment.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent communication skills, both written and verbal, with an emphasis on tact and diplomacy.
Proficiency in office management systems and CRM software (Salesforce preferred).
High attention to detail and a commitment to delivering high-quality support.
Legible handwriting.
Self-starter.
Typing speed of at least 50 words per minute.
Proficiency in MS Word/Google Docs and Excel/Google Sheets.
