Responsibilities
Enters data into electronic databases to ensure accurate processing and record keeping.
Generates requisitions, purchase orders, receipts, and vouchers as necessary.
Tracks invoice payments, purchases, generate reports, and spreadsheets.
Codes requisitions using appropriate department codes to assign the goods/services to the correct account.
Sets up spreadsheets by writing formulas and functions to facilitate the processing of accounting information.
Places orders from approved vendors as needed by the agency.
Establishes vendor contacts to provide a go-to resource for problem solving and daily interactions.
Schedules queries in electronic databases as required.
Use electronic office productivity software (Microsoft Office / Adobe) to perform daily tasks.
Provide basic laptop and printer troubleshooting. Liaison for password resets, VPN questions, MS Office Word, Outlook, Adobe and Excel support.
WebEx meeting liaison and support.
Manage Commission's conference rooms.
Provide support for Commission web page.
Perform annual I.T. hardware inventory.
Performs human resources administration in one or more of the following areas: employee relations, onboarding, employee development, and training.
May act as the Administrative Services Officer or the Assistant Administrative Services Officer based on the complexity of the administrative services operation and the size of the agency.
Performs a variety of general staff administrative duties to support agency operations.
Coordinates printing services, mail services, or stores and warehousing services for the agency.
Conducts space planning and facility management to ensure environment, health, and safety standards are met.
Communicates with internal and external customers.
Facilitate DOHR required training & development initiatives to agency as needed.
Prepares records and reports to meet agency needs.
Reviews records and reports in order to ensure accuracy, completeness, and adherence to standards.
Maintains agency records based on established guidelines.

Required
Bachelor's degree and 3+ years of full-time professional staff administrative experience or related work
Strong proficiency in Microsoft Office skills including Word, Outlook, Excel
Preferred
Proficient in Edison, Financial Supply Chain Management (FSCM) work center for financial information such as expense reports, requisitions, purchase orders, receipts, vouchers, deposits, etc.
