Responsibilities
Manage and coordinate with stakeholders the preparation of all Board and Committee Records, Minutes, Public Noticing and Staff Reports, and compliance documents and ensure they meet MCE procedures and Legal requirements.
Manage and coordinate new Board Member Orientations by scheduling meetings and providing meeting materials.
Manage email and phone communications to Board Members and ensure their requests and inquiries are addressed with accuracy in a timely manner.
Organize and coordinate Board and Committee meetings and events and provide logistical support ensuring all materials needed for meetings are provided.
Adhere to all tasks in a collaborative and timely manner based on the MCE Board Clerk Standards and process documents.
Coordinate annual Form 700 reporting process and maintain accurate records.
Coordinate the submission of documents for Board and Committee meeting packets, and review and coordinate with Department Heads and staff to ensure high-quality written materials.
Manage Board contacts and Board calendar.
Provide meeting setup, and material distribution for Board and Committee meetings.
Coordinate regular updates of MCE's website for public meeting materials as needed and in a timely manner, with correct meeting dates, notification of canceled meetings, Board and Committee packets, and all relevant approved Board material after Board and Committee meetings are complete.

Required
Strong understanding of The Brown Act, posting requirements, transparency, public records management, disclosure requirements, etc.
Demonstrated experience establishing and maintaining effective working relationships with Board members, MCE leadership and staff, external stakeholders.
Demonstrated Experience using software and technology required for job responsibilities and in support of the Board of Directors, including: Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Google Applications (Gmail, Drive, Docs, Sheets, Slides, Forms), Adobe software, Apple devices and applications, Telephone, video conferencing, and audio-visual equipment
Demonstrated Experience with Project Management Tools
In person attendance as necessary for monthly board meetings, executive and technical committee meeting, and or ad hoc meetings
Any combination of education and experience that would provide the knowledge and abilities listed. Typically, equivalent to possession of a Bachelor of Arts degree in business administration or related field.
Four (4) years of responsible administrative support experience, which has included considerable exercise of initiative, attention to detail, and independent judgment.
Preferred
Certified Administrative Professional certification is preferred.
