Responsibilities
General Ledger Maintenance:
Record, categorize, and review financial transactions in the general ledger.
Ensure accurate coding of expenses and revenue per chart of accounts.
Process journal entries, adjusting entries, and ensure all accounts are balanced.
Accounts Payable & Receivable:
Process vendor invoices, ensuring proper approval and timely payment.
Track and record incoming revenue, including donations, grants, and program fees.
Reconcile outstanding receivables, follow up with donors or funders as needed.
Bank & Credit Card Reconciliation:
Reconcile bank accounts and credit card statements to the general ledger on a monthly basis.
Investigate and resolve discrepancies in reconciliations.
Payroll Processing:
Assist with the preparation of bi-weekly payroll
Ensure payroll tax filings and other related reports are submitted accurately and on time.
Financial Reporting & Budgeting:
Assist in the preparation of monthly, quarterly, and annual financial reports for internal stakeholders (Executive Director, Board of Directors).
Prepare financial statements (Income Statement, Balance Sheet) and ensure they comply with nonprofit accounting standards (e.g., FASB).
Grant Compliance & Reporting:
Track restricted funds, ensuring proper allocation according to grant agreements.
Ensure compliance with financial policies and procedures related to grants.
Audit & Tax Filings:
Assist with the preparation of documents and reports for annual audits.
Support the filing of 990s and other tax-related documents required for nonprofits.
Record Keeping & Documentation:
Maintain organized, accurate, and complete financial records for easy retrieval and compliance.
Ensure proper filing and retention of financial documents in accordance with local state and federal agencies.
Account cleanups as needed
Client Communication:
Manage client relationships by supporting financial questions and concerns from our clients and be the ‘face’ of NPBK.
Establish reporting period/deadlines with clients and/or their board members
Answer client emails, report requests, and questions within 24 hours
Obtain access to clients’ accounts and establish preferred communication methods

Required
Associate’s degree in Accounting, Finance, or related field preferred, or equivalent experience.
Prior bookkeeping experience, preferably in a nonprofit organization.
Proficiency in accounting software (QuickBooks Online and Microsoft Excel), technology applications (Google applications, Adobe, etc), bill payment software (Corpay One, Bill.com, etc.), expense management software (Expensify, Divvy, etc.), payment Processing software (Paypal, Stripe, etc.), management software (Network for Good, Salesforce, Little Green Light, Bloomerang, etc.).
Strong attention to detail, accuracy, and organization.
Ability to work independently and collaboratively as part of a team.
Excellent communication skills, both written and verbal.
Ability to manage multiple priorities and meet deadlines.
Ability to work independently and to ask for help when needed.
High level of integrity and discretion in handling confidential financial information.
Preferred
Knowledge of nonprofit accounting principles, including fund accounting and 990 tax filings, is highly preferred.
Familiarity with nonprofit financial reporting and compliance requirements preferred.
Experience with payroll processing and knowledge of payroll systems (e.g., ADP, Gusto) is a plus.
Keeper experience is a bonus.
Knowledge of nonprofit tax laws and regulations is a plus.
Strong problem-solving skills and ability to troubleshoot discrepancies.
