Responsibilities

Open and distribute incoming correspondence to the appropriate person or department.
Process outgoing correspondence.
Establish and maintain communication with departments to determine time constraints on special instruction orders.
Expedite assigned work orders and notify order entry of database updates.
Enter status into the computer system(s), document steps taken in the handling/routing of work orders.
Route work orders to appropriate departments in a timely manner, as defined by office procedure.
Order and maintain office supplies at a level to ensure against shortages.
Receipt and distribution of supplies to the appropriate storage location/department/ individual.
Filing.
Match incoming vendor invoices with work orders.
Match records with work orders.
Bind and mail completed records.
Assemble work orders packets.
Scan documents.
Cross-train in other areas of the office when needed.

Required

High school graduate and/or GED equivalent.
Prior work experience in an office setting preferably in a medical, legal, or an insurance claims office.
Proficiency at typing; preferred level of at least 45 wpm.
Good understanding of the organization’s goals and objectives.
Highly self-motivated and directed.
Ability to adapt to changes and absorb new ideas and concepts quickly.
Good analytical and problem-solving abilities.
Ability to effectively prioritize and execute tasks in a high-pressure environment.
Good telephone etiquette, written, interpersonal and organizational skills.
Has a rudimentary understanding of the internal processes of medical facilities and med-legal terminology.

Preferred

Some college desirable but not required.
Bilingual Spanish/English speaking a plus.
