Client Support Coordinator

Responsibilities
Monitor and manage the main phone line and support email inbox.
Assist clients with scheduling needs and general questions.
Conduct outbound calls and emails to families for updates and check-ins.
Assist with identifying and reporting client system issues.
Maintain accurate and updated client information
Add students to the HelloCollege portal and online tools.
Manage seamless transition between sales and service
Oversee client onboarding experience
Troubleshoot and ensure smooth synchronization across platforms
Lead Family Orientation sessions for new students (5+ monthly).
Offer personalized orientations for families with unique scheduling needs.
Send out monthly workshop confirmation to all service staff
Update family communication, internal systems, and scheduling tools.
Update backend portal web pages as needed.
Handle all external communication from HelloCollege to clients.
Provide administrative support to the service team, addressing their needs.
Support the Senior Director of Operations and Executive Team with special initiatives.

Required
Proven experience in customer support or client-facing roles.
Excellent organizational and multitasking abilities.
Strong communication skills with a focus on empathy and problem-solving.
Proficiency in managing multiple systems and tools simultaneously.
Preferred
College degree with a passion for higher education highly preferred
Familiarity with education platforms (e.g., YouScience, Methodize) is a plus.
