Responsibilities

Provide direct support to all SAFEbuilt employees enrolled in the fleet program – this includes SAFEbuilt vehicles, rental vehicles, and vehicle allowance recipients.
Assist in the communication of Fleet policies and practices to the field – guide employees to correct resources and contacts to resolve requests.
Ensure fleet database in Holman Insights is kept current by updating the fleet portal with driver changes and cost center updates.
Assist with maintaining the vehicle inventory. This includes monitoring reports of available vehicles, fueling patterns and usage, vehicle downtime, vehicle assignments, etc.
Work directly with Holman Fleet Management team to assist with administrative duties and issues.
Monitor licensing, maintenance intervals, annual registration renewals, and toll programs for SAFEbuilt’ s fleet.
Support onboarding of new employees and vehicle assignments.
Assist with ordering PPE supplies for various groups across the company and communicating to our vendor to order and ship items.
Coordinate vehicle accidents with the driver & insurance company.
Maintain rental car program including reservations, billings, and driver support.
Office start-up support: working with Fleet supervisor to onboard new vehicles and employees to SAFEbuilt fleet programs.
Support the rollout of new SAFEbuilt programs and driver initiatives.
Assist Fleet Supervisor with tasks as requested.

Required

1-2 years of experience in related role or working in an office environment with significant contact with the public.
Basic vehicle knowledge – licensing, maintenance practices, and accident management.
Experience with standard Microsoft Office programs – Outlook, Word, Excel, PowerPoint – and ability to learn new software products that help manage the vehicles and drivers (such as fleet management and telematics software).
Strong verbal, written and interpersonal communication skills. Customer service-oriented is a must.
Good time management, organization, communication, and attention to detail.
Must be able to perform multi-task operations with frequent interruptions.
Ability to work independently on assignments as well as focus on a team approach.
Demonstrate capacity to be self-motivated, handling multiple projects with little supervision.

Preferred

Bilingual preferred but not required.
