Responsibilities
Receive, review, and organize construction project documents
Maintain accurate and up-to-date electronic and hard copy project files, following naming conventions
Ensure documents are appropriately labeled, filed, and accessible to authorized personnel
Take the lead on maintaining all record as-built drawings, design drawings, standard drawings, as-is drawings, and contract close out documents in accordance with the policies and procedures set forth
Assist in the creation and implementation of document control procedures
Assist and consultant staff in retrieving needed documents from electronic file archives
Enter and update project information in the document control system
Track revisions, changes, and approvals for various documents
Generate reports on document status, distribution, and other relevant metrics
Coordinate with the project team, contractors, consultants, and Information Technology (IT) department to support the project close out process and assist with document onboarding from the Project Management Software System (PMSS) to the final repository
Perform quality control checks to ensure that digital files are complete, legible, oriented correctly, named consistently with the file naming convention, and archived consistently with the file directory structure convention
Work closely with project teams to ensure document compliance with established standards
Communicate effectively with internal and external stakeholders regarding document control processes
Conduct periodic audits to verify the accuracy and completeness of project documentation
Identify and rectify discrepancies in documents and records
Scan hard copy historical documents into a digital format and save the scanned documents in the appropriate digital folder, in accordance with the digital file structure

Required
Bachelor's degree
At least 8+ years in document control experience
Ability to clearly and professionally communicate both verbally and written
Ability to follow directions after receiving the project orientation criteria and workflow instructions
Strong organizational and multitasking abilities
High level of proficiency in Microsoft Office Suite and document management software, PMIS type tool, SharePoint and other PMIS solutions, eBuilder, PM Web, Oracle, Kahootz, Kahua etc.
Excellent attention to detail and accuracy
Effective communication and interpersonal skills
Strong organizational skills
Experience performing quality control checks
Preferred
Construction industry experience preferred
Experience working with secure contract documents, reports, drawings, and plans for infrastructure that may be classified as sensitive information is preferred
