Responsibilities

Executive Support: Be the right hand to assigned executives, managing calendars, scheduling appointments, and ensuring smooth communication. Draft and proofread professional correspondence, presentations, and emails. Anticipate executives' needs and proactively address them. Manage domestic and international travel arrangements, including flights, hotels, and transportation. Prepare and process expense reports.
Operations Rockstar: Assist the team with various administrative tasks like managing databases, preparing reports, and coordinating offsite meetings/team-building events. Support HR with recruiting, onboarding new hires and administrative tasks.
Investor Relations & Fund Operations: Help maintain accurate fund administration records, liaise with fund administrators for portfolio reporting and compliance matters, and assist with investor relations by preparing and distributing communications, and coordinating AGMs.
Team Player & Problem Solver: Oversee company swag and apparel (ordering, inventory, distribution). Contribute to ad-hoc operational projects as the firm grows, including hosting industry meetups and supporting marketing initiatives.

Required

Minimum 3 years of experience in an administrative or operations role, with experience supporting executives in the investment management / management consulting industry strongly preferred.
Proven experience in calendar and travel management.
Excellent project management, organizational, process management, and communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to perform and prioritize multiple tasks simultaneously with extreme attention to detail
Ability to work independently and take initiative.
Professional demeanor and discretion in handling confidential information.
Familiarity with the private equity / B2B software industry.
