Responsibilities
Accurately file and manage entity documents for all states, adhering to specific regulations and guidelines
Maintain up-to-date records and databases, ensuring all entity information is accurate and readily accessible
Collaborate with legal and administrative teams to gather necessary documentation and information for entity filings
Monitor deadlines and prioritize tasks to ensure timely submissions and compliance with state requirements
Identify and resolve discrepancies or issues related to entity filings through effective problem-solving skills
Assist in the preparation of reports and summaries related to entity filings as required
Stay informed of changes in state laws and filing requirements, applying this knowledge to enhance filing processes
Provide support to other departments on matters related to entity documentation and compliance

Required
College degree or equivalent required
Proven experience as a Filing Clerk, Legal Administrative Assistant, or similar role
Exceptional attention to detail and organizational skills
Strong ability to meet deadlines and work under pressure
Proficient in MS Office (especially Excel) and database management
Excellent problem-solving capabilities
Effective communication skills, both written and verbal
Ability to work independently and as part of a team
Preferred
Prior legal assistant, legal clerk, or entity filing experience preferred
Additional certification in Administrative Assistance or a related field is a plus
Knowledge of state-specific entity filing requirements is highly desirable
