Responsibilities
Manage the Budget process for the Academic Division (controllable, salaries, endowed accounts, Salary Planner)
Manages Faculty appointment letters process (new appointments, reappointments, adjuncts).
Manages the course materials/textbook process working with faculty and students as the official point of contact or liaison between them and the external textbook provider. Works with faculty to assure on-time adoptions and tracks and follows-up on backorders or other elevated customer service issues as needed.
General central office work (phones and welcomes all visitors and guests).
Serves as staff support to the Enrollment Policies and Budget Committee.
Manage, verify, and reconcile faculty staffing.
Serve as Banner maintenance for Academic Affairs and manager of the Faculty module in Banner.
Administrative support for IRB and URCPP (Undergraduate and Creative Projects Program)
Academic Division liaison to payroll for stipends and special pay.
Supports the visa process for Faculty as requested.
Responsible for faculty data for IPEDS, AAUP, CUPA, Fact Book, and other reporting requirements.
Complete Title IX Equity in Athletics reporting
Maintain annual operating license with Kentucky CPE
Serves as Divisional contact with controller’s office with respect to divisional financial activities, and with Human Resources with respect to payroll activities.
Serves as liaison between office, departments, and public.
Provides Budget training for the Academic Division as needed (Chairs, Center Directors).
Set up special accounts and orgs as needed.
Special project work as needed.

Required
Bachelor’s degree required
5+ years’ experience in a professional work environment with confidential matters
Budget management
Excellent oral/written communication and superior interpersonal skills with the ability to work collaboratively in a team setting and the ability to interact effectively with visitors
Strong organizational skills and capacity to set priorities
Attention to detail
Resolves issues, analyzes information, and makes recommendations
Ability to work independently on multiple, complex administrative tasks and priorities
Extensive technology skills including data processing, Microsoft Office Programs, Box, Banner, Qualtrics, docusign
Professional manner and discretion handling confidential information
Event management
Valid driver’s license
Required background checks
Ability to navigate campus/public buildings and grounds
Ability to travel independently by car and/or plane
Ability to occasionally lift up to 20 lbs
Must be able to sit for extended periods of time with computer use
Must be able to frequently use computers and other standard office equipment
Requires clear and effective communication
