Responsibilities
General typing of letters, memos, and other correspondence as needed.
Maintain a high level of security and trust while working with material containing confidential information.
Assist with the development and layout of Power Point presentations as needed as well as various high-level reports to include Executive overviews, workload reports, overtime summaries, and relocation/promotion spreadsheets.
Assist senior management team with all aspects of Capital Expenditure tracking and approval process.
Assist Senior Vice President of Distribution with file organization and ongoing maintenance of filing systems.
Assist with special projects and high-level tasks as needed to benefit the Team and distribution goals.
Work with all levels of management within the company as well as outside vendors to assist the management team with projects and correspondence.
Coordinate all incoming and outgoing mail for management team as needed.
Act as a liaison between Distribution Operations and Legal team facilitate reviews pertaining to operational service needs in the distribution centers.
Maintain ongoing contract logs to track the status of all contract reviews on behalf of the distribution centers.
Responsible for daily review and maintenance of calendars for management team members which includes accumulating all pertinent material needed for meetings and assuring all calendars (individuals and department) are maintained with current business and travel schedule.
Responsible for preparing and/or gathering various reports as needed on a daily, weekly, monthly, and quarterly basis.
Assist the Vice President of Distribution Operations with all aspects of meeting support, to include calendaring, sending invites, and taking meeting minutes where needed.
Coordination of travel plans as needed.
Reconcile and code monthly credit card statements expense reports for approval for Senior Vice President of Distribution Operations.
Provide administrative support as needed within the Distribution Operations Department team to help with the overall department workload and coverage.
Other duties as assigned by the Distribution Operations management team.

Required
High school diploma
Administrative/secretarial experience of at least two years
Excellent verbal and written communication skills including telephone techniques
Proficiency with Microsoft Office products including word processing, and above average Excel, query and spreadsheet skills
Ability to handle and process highly confidential material in a trustworthy manner
Ability to handle multiple tasks at one time
Excellent problem solving, prioritizing and time management skills
Good organizational skills
