Responsibilities

Data Entry: Enter and update client information, bookings, and other relevant data into the company database with accuracy and efficiency
Document Preparation: Assist with preparing documents, presentations, and reports for internal and external use, ensuring they meet company standards
Email Management: Monitor and manage the company email inbox, responding to inquiries, forwarding messages to the appropriate team members, and maintaining organized email correspondence
Calendar Management: Coordinate and schedule appointments, meetings, and travel arrangements for team members as needed, utilizing scheduling tools and platforms effectively
Communication: Facilitate communication between team members, clients, and external partners through phone calls, emails, and other communication channels, maintaining professionalism and confidentiality
Administrative Support: Provide general administrative support to team members, including file organization, document scanning, and maintaining office supplies inventory
Task Coordination: Assist in coordinating tasks and projects within the team, ensuring deadlines are met and objectives are achieved
Ad Hoc Tasks: Handle additional administrative tasks and projects as assigned by management to support the overall functioning of the agency

Required

Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace, and project management software
Ability to work independently with minimal supervision while also collaborating effectively within a remote team environment
