HR Shared Services Administrator (Onboarding Specialization)

Responsibilities
Coordinate the onboarding process for new hires, including preparing and distributing new hire paperwork, facilitating background checks and drug screens, and completing employee setup in HR systems.
Maintains credentialing requirements for all Savista clients, and facilitates occupational screenings and immunizations as needed.
Interface with client contacts in a professional manner as required in support of the onboarding requirements.
Host HR Orientation meetings for new hires and maintain all relevant information and materials.
Ensure a smooth and welcoming experience for new employees, providing assistance and guidance as needed throughout the onboarding process.
Serve as the primary point of contact for hiring managers and newly hired employees.
Aligning new employees with managers and their team and communicating involvement procedures to all stakeholders.
Acting as a subject matter expert and making recommendations on how to improve onboarding process efficiency.
Ensures compliance with all processes and maintains a high level of confidentiality at all times.
Identifies innovative and creative new ways to onboard new employees/reach a more scalable and measurable onboarding experience.
Escalate as appropriate any exceptions to established policies and procedures to leader according to departmental protocols.
Contributes to the effective and efficient operations of the HR team by being cross trained in other HR operational functions and performing those roles as backup; including backup for Leave administration, or other Operations functions.
Assists with management of the AskHR inbox to ensure Tier 1 questions are answered in a timely manner, using judgement and knowledge to interpret Savista policy. Knowledge of all policies, and when to engage Tier 2 support to respond.
Liaison with unemployment vendor for basic claims.
Participates in HR projects as requested.

Required
2+ years of experience in HR administration or related role, with specific experience in onboarding, leave administration, HR inquiries, and unemployment insurance.
Strong communication skills, both written and verbal, with the ability to interact effectively with employees at all levels.
Detail-oriented with excellent organizational and time management skills.
Knowledge of HRIS systems and proficiency in MS Office applications.
Ability to handle sensitive and confidential information with discretion and professionalism.
Ability to work successfully and professionally with all levels of employees and management.
Ability to troubleshoot, identify improvements, and make simple decisions independently.
Preferred
Bachelor’s degree in human resources, Business Administration, or related field preferred.
HR certification (e.g., SHRM-CP, PHR) is preferred but not required.
Experience managing charity programs or community initiatives is a plus.
