Responsibilities
Support internal and external recruiting related inquiries submitted through Onboarding@Verisma.com
& Recruiting@Verisma.com. Responsible for ensuring resolution or escalation
Work closely with department leaders to ensure questions are answered, problems are resolved, and issues are escalated as needed
Support the recruitment process by checking references, submitting and tracking background checks, drug screens, health screening and facilitating all other onboarding requirements
Work closely with clients, operations management and vendors (health centers, background check companies, etc.) to ensure all onboarding protocols are up-to-date, accessible and timely
Maintain required documentation for talent team through various internal and external trackers / portals to support onboarding, recruiting, temporary staff, background checks, DocuSign, etc.
Supplies, monitors and approves I-9 forms. Ensuring I-9 documentation is accurate and facilitates the E-verify process
Escalates any issues that may arise during the onboarding or client access process to recruiting and/or HR team
Supports recruitment team in managing the applicant tracking database, ensuring timely candidate communication and accurate hiring records
Communicate new hire information to initiate the internal onboarding process with IT, Training and Managers
Maintain digital files for employees, generate documentation and reports
Collaborate with outside vendors, clients, and Verisma associates to maintain standards conscripted by authorities
Respond to requests and questions in a timely manner while seeking opportunities to troubleshoot and proactively resolve issues
Facilitate offboarding of employees including collecting exit interview documentation and keys, conducting exit interviews and updating personnel records, as appropriate
Participate in all morning huddles and weekly meetings with team, department, and clients
Prepare offer letters and other new hire necessities
Maintain job descriptions for all new requisitions ensuring they are posted in HRIS and SharePoint
Promote a strong company image through professional and helpful candidate and vendor communications
Support Verisma’s temp to hire program including communications with staffing vendors, ensuring accurate tracking records and supporting the transition process; track temporary staff hours and facilitate conversions
Perform other appropriate duties, as assigned, to meet the needs of the department and the Company

Required
Minimum 4 years administrative experience within human resources department, or related role
Proven track record of maintaining confidentiality and trust among internal and external stakeholders
Impeccable integrity with a high degree of confidentiality
Work in a cross-functional manner with the implementation team, management and clients to clearly document all onboarding and offboarding protocols
Strong verbal and writing communication skills in order to resolve issues, support hiring managers and clients, and collaborate with peers
Comfortable communicator, with the ability to ask the difficult questions to uncover necessary information
Meticulous attention to detail, ensuring records, files and reports are done timely and accurately
Impeccable organizational and time management skills, with an ability to provide needed information quickly
Pleasant demeanor, promoting a positive workforce and culture
Ability to multitask with the ability to pivot priorities when necessary
Collaborative nature ensuring creative and timely problem resolution
Flexible personality, finding the balance between structure and creative solutions
Inquisitive personality, looking to find the answer when it is not readily present

Fluent in various software packages, including Microsoft Word, Excel, Adobe and PowerPoint

Preferred
Bachelor’s degree in Human Resources or related field
