Responsibilities
Managing incoming and outgoing calls, ensuring messages are accurately taken and relayed to the appropriate personnel.
Greeting visitors in a professional manner, determining the nature of their visit, and directing them accordingly.
Overseeing the scheduling of meeting rooms and ensuring they are appropriately set up.
Assisting with travel arrangements and car service bookings as required.
Overseeing the handling of incoming and outgoing mail and packages.
Entering work orders into the building maintenance portal as necessary.
Assisting with building access card maintenance and ensuring security protocols are followed.
Maintaining office supplies and snack inventory, and reordering as necessary.
Administering customer contracts in the database, tracking the process, and filing electronically.
Keeping the reception area clean, organized, and welcoming.
Executing day-to-day administrative tasks and providing backup support as needed.

Required
Must possess skills in office administration
Experience in performing receptionist duties
Proficient in basic office skills such as filing, data entry, and use of office equipment
Ability to handle answering inbound calls professionally and efficiently
Experience in managing meeting schedules, including booking meeting rooms and managing cancellations or rescheduling
Proficiency in handling outgoing mail packages, including preparation, tracking, and distribution
Experience in ordering office supplies and maintaining inventory
Strong communication and organizational skills
Ability to multitask and prioritize tasks in a fast-paced office environment
Must be a team player with a positive attitude and strong work ethic
Basic computer skills including familiarity with MS Office Suite (Word, Excel, PowerPoint)
High school diploma or equivalent required
