Responsibilities
Perform job in accordance with Company Mission, vision, and goals.
Exercise confidentiality in all areas, abiding by HIPAA rules and regulations.
Organize all administrative functions and ensure efficient day-to-day functioning of related staff.
Responsible for staff schedules and ensuring coverage in the absence of a staff member.
Clearly define each administrative staff member’s job responsibilities.
Assist staff members through coaching, mentoring, and other development activities.
Fill in for front-line staff as needed.
Complete administrative and clinical personnel evaluations.
Establish and maintain an environment that promotes and supports professional practices and standards.
Serve as a role model in leadership abilities, applications of principles of teaching, management, and effective communication.
Comply with established best practices and policies/procedures.
Act as a patient advocate, ensuring a setting that protects the rights of the patient and provides an atmosphere that does not compromise the patient’s physical or mental wellbeing, safety, or dignity.
Possess the ability to recognize and initiate the correction of problem areas.
Oversee the proper handling of patient medical records, as required under HIPAA regulations.
Ensure all appointments are scheduled appropriately and adhere to the applicable internal policies and procedures.
Ensure patient balances are collected.
Promote smooth interaction with other departments and foster good interdepartmental relations.
Responsible for ordering necessary office supplies.
Create, review, and manage daily reporting.
Ensure all reports are accurately submitted/distributed in a timely manner.
Cross-train all staff to ensure effective coverage during absences.
Keep doctors schedule and schedule for office.
Effectively handle patient complaints in a timely and appropriate manner.
Ensure that time cards are accurate for payroll and ensure all time cards are reviewed/approved by staff and the Office Manager by appropriate deadlines.
Work with senior management to develop, implement, and monitor effective work.
Attend operations meetings as necessary.
Follow instructions; respond to management direction; accept personal responsibility for actions, performance, and results; keep commitments; complete tasks on time or notify appropriate person with an alternate plan.
Balance team and individual responsibilities; exhibit objectivity and openness to others’ views; give and welcome feedback; contribute to building a positive team spirit; put success of team above own interests; support everyone’s efforts to succeed.
Independently work through situational issues and use problem-solving skills to achieve desired outcomes.
Ensure daily cash is collected and reconciled to prepare for pickup.
Participate in quarterly audits.
Perform other duties as assigned.

Required
High School Diploma or GED AND three (3) years medical office management experience; OR an equivalent combination of education and experience.
Knowledge of Internet and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).
Excellent written and oral communication skills, including exceptional customer service.
Ability to establish and maintain effective working relationships with doctors, clinical staff, other co-workers and the public.
Ability to work individually as well as within a team.
Ability to follow both verbal and written instructions.
Ability to work a flexible schedule.
Ability to respond with patience and understanding during stressful conditions related to patient health and emergent situations.
Ability to multi-task and prioritize.

Working knowledge of the healthcare field and medical specialty, as well as medical terminology.

Preferred
Bachelor’s Degree from an accredited college or university.
Four (4) years of prior experience working in a medical practice.
One (1) year of prior experience working with an Electronic Medical Record (EMR).
