Responsibilities
Respond to client inquiries and requests promptly, providing accurate information and assistance. Redirect complex inquiries to the appropriate team members or departments as needed.
Maintains accurate client records and databases, including contact information, service history, and any other relevant data – Salesforce and Cybercabinet.
Client onboarding in UltraTax, Salesforce & Cybercabinet for new tax year
Document scan and upload into Cybercabinet
Manages digital and hardcopy files on client tax preparation process
First point of contact for client inquiries regarding Tax Organizer – how to complete, how to order, status of taxes, etc.
Responsible for mailing annual booklets to clients.
Maintains weekly service activity spreadsheet listing all calls and actions taken
Schedule and coordinate client meetings and appointments, prepare meeting materials, and follow up on action items.
Gather and document client feedback, suggestions, and complaints, and communicate them to the relevant teams for improvement.
Provide support to clients with service-related issues, troubleshoot problems, and liaise with other departments to resolve client concerns.
Assists with marketing efforts for all department – including mailing list updates, mailer administration, etc.
Assists department managers with administrative tasks as needed.
Manages vendor relationships with office suppliers, service providers, and contractors to maintain office functionality, as needed
Manages internal human resources - employee relations, onboarding, PTO tracking, document management, etc.
Handle incoming and outgoing mail, including sorting, distribution, and processing of packages and deliveries.
Greet visitors and ensure a welcoming atmosphere. Direct visitors to the appropriate personnel or department and manage the reception area.
Oversee the organization, and maintenance of the office, including ordering and managing office supplies and equipment.
Collaborates with Human Resources to plan and coordinate company events, meetings, and other gatherings.
Manages staff birthday acknowledgments and celebrations.
Administers sympathy and appreciation correspondence with clients.
Bookkeeping responsibilities for owner’s external company, not related to CFR.

Required
High school diploma or GED
3+ year of Office Administration/Management experience
3+ years experience in QuickBooks online
Proficient in Microsoft Office
Proficient in Salesforce
Familiarity with UltraTax
Familiarity with Cybercabinet
Familiarity with Tax Organizer
Familiarity with accounting and tax preparation services, language & terminology
Effective verbal and written communication
Willingness to take on new tasks
Operates proactively
