Office Manager / Executive Assistant

Responsibilities
Manage main common area.
Greet visitors and answer telephone; take messages and check voicemails, as necessary.
Manage and communicate multi calendars for company travel and internal/external meetings throughout the office.
Assist Controller/Accounting/Treasury as needed.
Handle copying, filing, making sales binders/presentations and other administrative tasks as assigned.
Schedule and maintain a clean and orderly work environment.
Responsible for ordering office supplies.
Coordinate travel arrangements for office.
Organize business lunches as needed.
Opening and distributing mail including express deliveries.
Maintenance of common area and supply closets.
Professional attitude/Great phone skills/Reliable and Punctual a must.

Required
Strong customer service skills
Ability to learn and understand business processes
Excellent time management skills; able to prioritize duties and multi-task
Good Judgment and strong sense of urgency
Detail oriented and focused
Minimum of two years of administrative support experience
Demonstrate written and oral communication skills
Proficiency with Microsoft Office (Word, Excel), and Google documents and Google Calendar
Preferred
Accounting knowledge helpful
Spanish speaking is preferred. While not a strict requirement, we serve a large Spanish-speaking customer base, so fluency in Spanish in addition to English would be a significant asset
