Responsibilities
• Meeting Coordination: Plan, schedule, and coordinate meetings, workshops, retreats, and videoconferencing. Arrange travel, lodging, and logistics for staff and candidates for new positions.
• Administrative Operations: Act as the primary point of contact for management, budget, and property management staff. Facilitate the orientation and onboarding of new staff members, including training on administrative systems and processes.
• Project and Expense Management: Support various projects, including expense reconciliation, timekeeping, and fellowship program management.
• Documentation and Reporting: Prepare executive briefing documents, meeting agendas, minutes, and summary reports. Develop and update databases, spreadsheets, and other documentation related to personnel, budget, and travel actions.
• Travel and Logistics: Handle all aspects of travel planning and processing, including scheduling, reimbursements, vouchers, and last-minute changes for domestic, international, and sponsored travel.
• Communication and Outreach: Collaborate with leadership, program officers, and senior officials to ensure effective communication and smooth flow of information. Proactively propose and implement new administrative procedures.

Required
Bachelor’s degree in a related field
10 years of administrative experience
Meeting coordination and minutes/summary report preparation
Expense reconciliation, project management/planning, and timekeeping
Executive-level support and outreach activities
Proficiency in website content management and project management tools
Advanced knowledge of MS Office Suite
Exceptional organizational skills with the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills to interact effectively with senior leadership and program officers
Proficiency in designing and coordinating systems for streamlined communication and efficient project execution
High level of discretion and professionalism when handling confidential information
