Responsibilities
Full-cycle payroll preparation and processing for multiple states (NY, NJ, PA, MD, VT, MA, NH, & DC metro) in a multi-entity environment using ADP Workforce Now for close to 800 employees and growing.
Perform payroll processing and certain administrative tasks such as updating salary & deduction information and terminations.
Run various pre-payroll processing reports, perform necessary comparisons and audit to ensure proper payroll balancing of all time batches and any adjustment batches. Including timecard exceptions, paid time off reconciliation, new hire entry, garnishments etc.
Run special payroll runs, process manual checks and out of sequence payroll runs.
Manage Time & Attendance system, including auditing, consolidating and resolving discrepancies as required.
Responsible for owning the payroll vendor relationship. Main point of contact to manage the relationship.
Interface with Managers and answer employee inquiries related to timekeeping and other payroll questions.
Prepare and analyze periodic reports of earnings, taxes, deductions, historical data and other relevant reports.
Ownership of the company payroll tax filings and deposits, working with vendor to ensure compliance with local, state and federal tax agencies. Reviews and manages quarterly and annual tax filings and deposits.
Sets up new local and state tax accounts where needed. Knowledge of local taxes and remote employee taxing.
Ensure compliance with all garnishment and support orders including Federal, State, and Local tax withholding.
Prepare and send the required information to internal and external recipients as required including audits such as workers' comp and 401(k).
Perform standard control procedures and maintain payroll-related records while ensuring legal compliance.
Year-end payroll processing tasks, including W-2 reconciliation. Consistent wage and hour compliance monitoring.
Identifies and recommends updates to payroll processing software, systems, and procedures.
Responsible for M&A integrations for payroll processing, ensuring entities, access and employees are set up correctly. Trains practice leader on supervisor access, approvals and processes.
Prepares and maintains accurate records and reports of payroll transactions.
Identifies and recommends updates to payroll processing software, systems, and procedures.
Review and verify punch in-out timecards for hourly employees, overtime, and unapproved time-off requests prior to processing payroll.
Research and correct issues found during processing.
Process payments that include commissions on net collections, net productions, bonus payments and other types of compensation activities.
May need to run net collections and net production reports directly from our practice management systems or business intelligence platform (PowerBI) to calculate commissions and bonus payments.
Work closely with HR to resolve employee related pay inquiries and issues.
Review and validate data flow reporting for accuracy from HR system into payroll system.
Reconcile payroll prior to transmission and validate final reports for approval.
Analyze payroll data and clearly explain payroll variances between previous and current payroll runs.
Assist with implementation of company-wide payroll initiatives.

Required
5+ years minimum of payroll manager experience required.
Must have experience working for a multi-state and multi-site firm (such as PA, NY, NJ, MD, VT, MA, NH, & DC metro -others states may be added as operations expand).
Prior experience in ADP Workforce Now required.
Must be proficient in Excel skills (especially with Pivot tables, Vlookups, etc.).
Must be detail-oriented, highly organized, and possess excellent time management skills to successfully meet established deadlines with high attention to detail.
Must have excellent verbal and written communication skills.
Must have outstanding work ethic, willing to roll-up sleeves work attitude.
Able to collaborate and work cohesively within a team as well as work independently.
Able to multi-task and adapt effectively as business needs change.
Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
