Responsibilities

Help maintain and manage the daily calendars and schedules as requested
Work with Community Managers to ensure proper scheduling of apartment and other community renovations and construction
Prepare regular reports to evaluate whether each project is being completed on time and on budget. Support the purchase order and invoice process to ensure timely ordering and payment
Maintain capital improvements budget
Serve as liaison between Director of Capital Projects and contractors
Participate in monthly construction meetings
Attend safety meetings and trainings
Purchase supplies using a standard purchase order system and proper bidding procedures
Follow the standards for the purchase approval process and ensure all invoices are paid within 2 weeks of project completion
Create purchase orders, WTN number and invoices
Update Capital Projects and rehab trackers
Ensure all vendors fill out required BRC in Ops system
Manage renovation schedules for the assigned properties
Measure apartments and collect field data to support estimates of time, cost, materials, and labor required to repair, remodel apartments
Create SOW for renovations
Communicate and solicit bids from trade partners and general contractors
Work with architects, local township agencies and apply for permits
Create purchase order for materials and labor and pay all renovation related invoices
Perform pre-moveout, quality control, and punch walk inspections
Perform site wide Capital Needs Assessment inspections to determine the existing condition of the building structure, common areas, roofs, mechanicals, and other building components
Write detail scope of work for identified capital projects and unit renovations and prepare bid forms
Distribute prepared scope of work to a minimum of three (3) agreed upon vendors
Prepare received bids for Director of Capital Projects
Notify excluded bidders and create contract for approved vendor
Create contracts for each individual project with great attention to detail
Ensure contracts are signed and saved in appropriate location
Manage the contract approval process including signatures and the Ops approval process
Meet with vendors and contractors on site so they can collect appropriate information for proper bidding
Work with Community Manager to ensure proper delivery of all materials
Maintain capital construction schedule
Work with Director of Capital Projects to ensure resolution to any vendor opportunities, that may arise
Confirm work is fully completed for release of payment

Required

Bachelor's degree in Construction Management, Engineering, Architecture, or related field
3+ years of experience in project management or related field
Experience managing renovation projects
Knowledge of construction practices and techniques
Ability to create scopes of work and solicit bids from vendors
Strong attention to detail in contract creation and management
Excellent communication and interpersonal skills
Ability to work with multiple stakeholders including vendors, contractors, and community managers
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Ability to manage project budgets and schedules effectively
Experience with purchase order systems and invoice processing
Willingness to attend safety meetings and trainings

Preferred

Certification in Project Management (PMP)
Experience working in property management or real estate development
Knowledge of permit application processes
Experience with capital improvements budgeting
Familiarity with standard bidding procedures
Experience with Ops system for vendor management
Experience with BRC (Building Repair Checklist) processes
