Responsibilities

Support project management and operations staff by handling contract administration, database management, project controls, file management, and close-out.
Train and mentor Project Coordinators in procedures and procedural compliance.
Encourage team unity.
Provide project-related assistance as needed.
Support Team Leads with additional responsibilities.
Understand contract and contract terms.
Assist Team Leads with audits on projects to ensure contract related documentation is up to date, as needed.
Assist Estimating and Project Team with creating exhibits for Bid Packages as needed.
Identify contract requirements and issues trade partner contracts without oversight.
Process Owner and Trade Partner change orders and pay applications. Follow up to obtain signed documents as needed and records executed documents in Procore.
Request Master Agreements and Vendor Adds from the Vendor Group and Risk Department.
Request McCownGordon insurance and bonds from insurance company without oversight.
Use AIA software for CMa subcontracts, Owner Change Orders, Subcontractor Change Orders, and Substantial Completion Certificates.
Add new contacts into Procore directory.
Partner with Accounting & Risk Departments to ensure new Company’s are set up in Procore and accounting software.
Complete and manage the tax-exempt certificates with support from Accounting.
Import initial project budget into Procore.
Set up new projects in Procore without oversight.
Prepare and distribute transmittals.
Manage print orders for drawings and/or specification books.
Upload Drawings and Specifications into Procore.
Assist Team lead with Partnering with leadership and/or various departments to implement new platforms and efficiencies.
Assist Team Leads with evaluating current procedures to ensure accuracy and efficiency.
Scan hard copy files and uploads to Procore. Retain hard copies until close of project.
Organize and file documents for projects in Procore.
Ensure Team understands closeout procedures and requirements and provide additional training where needed with approval from Team Lead.
Work with Project Management to develop closeout submittals in the Pype platform.
Coordinate receipt of closeout materials from required trade partner, reviews and ensure accuracy without oversight.
Create close-out deliverable and submit to Project Manager for review. Distribute closeout deliverable to relevant party.
Coordinate follow up communications for close-out documentation.
Attend Project Kick Off Meetings.
Assist with scheduling meetings for project team members as needed.
Order refreshments for Project Team Meetings as needed.
Assist Team Lead with coordinating Project Team Outings.
Assist Team Lead with onboard training of new Project Coordinator associates, as needed.
Greet and direct all visitors on job site, including coordinating logistics for material deliveries.
Answer all incoming calls and transfer to the appropriate party.
Order, receive, and sort office and trailer supplies for the jobsite as needed.
Coordinate topping out party, trailer setup, and breakdown.
Travel occasionally to McCownGordon office and project sites.
Train Project Coordinators on procedures and technology and assist Team Lead with onboarding new project coordinators.
Train project team members on procedures as necessary.
Identify opportunities for external training relevant to the Project Coordinator role.
Recommend technology, procedural enhancements, and efficiencies for the Project Coordinator team.
Lead trade partner/Architect/Owner trainings as needed for respective projects.
Participate in team meetings and trainings as required for the department.
Provide/coordinate back up support for team member time off.
Schedule project update with Team Lead 2 business days prior to approved time-off.
Adhere to Project Coordinator Code of Conduct.
Embrace change and support the initiatives of the department.
Act as a mentor to Project Coordinators.
Take notes during project meetings and processes in Procore based on project needs.
Work with PC Team Leaders to update procedures, as needed.
Provide weekly project status updates to project teams.
Assist with other duties as assigned by Team Lead or Risk Manager.
Support PC Team Leaders.
