Responsibilities

Contribute as a senior member of a small team that serves as the “go-to” people in the Center regarding sponsored award compliance, project specific tasks, and larger institute initiatives.
Help coach and guide the work of early career operations staff by providing them with guidance and feedback and working with the Director to manage team workflows. Opportunity to take on supervisory responsibilities overtime.
Proactively assess requests for operations team assistance to determine scope of request, level of urgency, and work independently to track, complete, and follow up on assigned tasks. Apply a proactive solutions-oriented mindset to minimize risk and troubleshoot issues with the Director of Center Operations and Principal Investigators (PI).
Support the Director of Center Operations in the management of internal allocations, KPIs, staff arrivals and departures, and Executive reporting.
Collaborate with the Director of Operations in reviewing current processes/ procedures to suggest improvements as well as suggest new protocols to enhance overall team and center performance.
Oversee a portfolio of award life-cycle business activities from proposal development, implementation and close-out, including leading routine meetings with key stakeholders.

Required

Bachelor’s degree in non-profit management, business, accounting, finance, public administration, public policy, or related field, and 7+ years of related research operations or business operations experience and/or training, or a Master's degree in one of these fields and 3+ years of related experience.
Prior work experience in a fast-paced office environment as a member of the operations/project management teams who interface with internal stakeholders and funder representatives from the federal, state, local, and philanthropic and/or non-profit sectors is essential.
Excellent relationship management, written and verbal communication skills, including the ability to review a large volume of complex information and distill it into a concise, actionable summary.
Excellent attention to detail, be well-organized, highly motivated, and able to effectively set priorities and manage progress of simultaneously tracked assignments, and work as an individual and part of a team.
Prior experience with the proposal development process, experience translating RFPs requirements and preparing proposal materials, including complex budgets; or,
Prior experience with sponsored award management, including, but not limited to creating budgets, using enterprise resource planning software to analyze project financials, reviewing grants and contracts for key project requirements, and conducting project risk assessments.
Exhibit a willingness to adapt to changing priorities and learn new processes and software programs.
Demonstrate high proficiency in Microsoft Office products including MS Word, Excel, PowerPoint, and Outlook.

Preferred

Demonstrated experience with a variety a government award types (e.g., Cost Reimbursable, Time and Material, Labor Category, Fixed Price) and complex multi-year budget oversight, and/or philanthropic grant management and administration.
Experience administering Department of Housing and Urban Development grants and contracts.
Experience working with Salesforce, Jamis Prime, Smartsheet, or other financial or project management tools.
Advanced skills in Excel functions such as writing formulas and data manipulation.
