Responsibilities

Manage all aspects of printed graphics & digital signage projects for large-scale client events, from inception to completion. Print graphics may include interior & exterior branding, hanging banner graphics, structural graphics, and both large & small format signage.
Collaborate with clients to understand their event branding objectives.
Work with design teams to curate & present creative concepts to client(s) based on event theme (ensuring alignment across all mediums).
Create and maintain a master signage grid to organize and track all signage-related requests.
Collaborate with team members to create project plans, production schedules, project estimates, and meeting agendas; facilitate project planning meetings, as needed.
Provide proactive consultation to clients and teammates to manage the expectations on the timing of deliverables.
Conduct site inspections to make recommendations to support event branding requirements and determine graphics-related logistics and installation considerations.
Maintain communication with clients throughout the project lifecycle to provide updates and address any concerns.
Ensure that all signage complies with venue requirements.
Work with the sales team to fulfill relevant contracted exhibitor and sponsor deliverables, as outlined in their prospectuses and sales agreements.
Manage vendor relationships and negotiate pricing for materials and services; Manage the RFP process for vendors, as needed.
Coordinate with designers, printers, and installers to ensure timely production and installation/execution.
Oversee onsite installation and dismantle of signage, ensuring quality and accuracy.
Participate in the editing and proofing of relevant content in event-related marketing materials.
Manage assignment-related portions of master event timeline.
Utilize internal resources to seek assistance and direction; escalate when needed to resolve potential client or project-related issues.
Collaborate with leadership to ensure that project consultation and recommendations are aligned with client expectations.
Interface directly with clients, vendors, internal departments, and client leadership teams.
Conduct post-project evaluations and create reports detailing project successes and areas for improvement.

Required

7 – 10 years’ experience in an event planning role and/or project management role.
Experience with both print and digital graphics/signage
Superior project management skills and attention to detail; expert time management skills with the ability to quickly and gracefully adapt to a rapidly changing environment and manage competing priorities.
Strong understanding of event industry standards and trends.
Solid reputation for planning successful live events.
Budget management experience with direct financial responsibility, ownership, and accountability to others.
Excellent interpersonal and collaboration skills.
Outstanding judgment and decision-making abilities.
Flexibility and willingness to assist colleagues with projects and tasks outside of specific job requirements.
Microsoft Office Suite and Adobe Acrobat proficiency.
Bachelor’s degree in management, marketing, business, or another related discipline.
Ability to travel up to 20%
