Responsibilities

Partner closely with Fellows Program Associate to execute on all Fellows Program needs including responding to internal and external inquiries, supporting active Fellows grantees, and other projects that arise; providing mentoring, ongoing support, and feedback to Program Associate.
Develop effective partnerships with key internal and external stakeholders to enable Fellows Program planning and execution in alignment with near and long-term program objectives and Foundation requirements; Key stakeholders externally include Fellows, the Advisory Panel, university presidents and staff, Key Events staff and other vendors; Key stakeholders internally include, but are not limited to: E&S, IT, Communications, and Grants Data and Operations staff.
In partnership w. IT and Fellows PA, ensure Packard Fellows Online system (used for the application & nomination process) and other Fellows systems/sites are operational, accessible, and effective, addressing any issues as they arise; Other sites/systems include: Packard Fellows Meeting web site (www.packardfellows.org), Packard Fellows Application and Reporting System (http://fellows.packard.org), and Fluxx sites for current Fellows.
Ensure successful nomination and application process by coordinating with and supporting contacts at 50 Universities with high volume of inquiries regarding eligibility and application materials. Oversee support to 100 nominees and 400 reference letter writers during application process.
Develop application review materials for first round of advisory panel review and ranking in partnership with Program Associate; Assign nomination packages to advisory panel members, keeping in mind each advisor’s expertise area and potential conflicts of interest.
Manage the 12-member Fellowship Advisory Panel and ensure each member has clear understanding of roles, responsibilities, and deliverables so that selection process stays on schedule.
In partnership w. Key Events vendor, lead planning for 4-day Packard Fellows Meetings of approx. 130 attendees (held annually in Monterey), including developing agenda, organizing Fellows presentations, identifying family-friendly activities, coordinating lodging, and overseeing all logistics and vendors.
Manage multiple event vendors and consultants to ensure all meeting attendees receive clear communication, resources, and opportunities to have an enriching and unique experience at the Fellows Meeting.
Guide design and approve registration site (copy edit and flow of site) and coordinate with Event Team Registration Manager on attendee registration and requests. Ensure event team and vendors are cordial and service-oriented.

Required

Minimum of 5 years of related project management, program operations, along with client engagement experience, with a demonstrated increase in responsibility/complexity.
Strong organizational skills, exceptional attention to detail, and consistent follow-through a must.

Preferred

Prior experience of large event management a plus.
