Administrative Specialist
Upstate Medical University is seeking an Administrative Specialist to provide high-level administrative support to the Chief of Burn Surgery. The role involves coordinating surgical cases, managing schedules, and ensuring proper documentation and communication with various clinics and patients.

Responsibilities
Coordinating OR Surgical cases for surgeons of ACS/Trauma/General and Burn Services
Schedules into EPIC any procedures which will occur at University Hospital. Coordinates the required Pre-Admission Testing and Anesthesia linked appointments
Responsible for maintaining schedule and cases for Department of Corrections through Walsh Clinic and Oneida Clinic
Works in conjunction with billing office to ensure that appropriate referrals or authorizations have been obtained and documentation
Obtains authorization
Responsible for live scheduling patients for surgery while at clinic consults. Provides patient all preparation documentation including anesthesia instructions, medication instructions, and pre op, pretesting, and telemedicine appointment details
Answer the telephone, take accurate messages and document in Epic System, transferring calls to appropriate staff or handling certain calls that are appropriate
Assists with scheduling follow up appointments in the outpatient practice as requested by the procedure practice
Access to PACS System and HealtheConnections
Responsible for sending written correspondence for procedure appointment changes
Schedules outside services as requested by the physician for the patient (Medicaid cab, interpreter services, etc.)
Responsible for reviewing the procedural schedule to make sure that the schedule is appropriate regarding the time allotted for each procedure to decrease patient 'wait time' and utilize the physician's time efficiently
Communication relationship with the multiple clinics and APP support for the surgeons
Responsible for all documentation for reimbursement payments to grants, divisions for the Chief of Burn Surgery
Qualification
Required
Associates Degree or pertinent college level courses
Three years of administrative/office management experience
Equivalent combination of education and experience will be considered
