Convergenz is seeking an Administrative Specialist to support their office operations in Chicago, IL. The role involves maintaining a professional environment, assisting with guest management, and handling various administrative tasks to ensure smooth office functionality.

Responsibilities

Maintain a clean and professional environment upon entering the office
Welcome guests and connect them with their appointed escorts and meeting locations
Monitor and secure entry doors as needed to maintain suite security
Sort and distribute inbound mail and deliveries, responsible for packing and processing UPS and USPS packages
Assist with all onsite event setup and breakdown. (Corporate events)
Submit visitor requests in i-visitor system and/or visitor pass for corporate security visitor registration as applicable
Assist with general messaging to suite employees of building events or tenant parties
Manage parking validation sticker inventory and provide validation to visitors as appropriate
Assist with ordering catering for office events and picking up food when delivery is unavailable. (as needed only, departments should be arranging their own catering)
Assist with shopping/picking up required items for office and pantry items when needed
Maintain and/or assist with office inventory of supplies and the daily stocking of kitchen and office supplies
Replenish copier paper as necessary
Submit work order tickets for any repairs needed in suite
Act as back up to Facilities Manager when unavailable or out of office
Attend weekly Teams calls for upcoming events
Perform other administrative duties as directed by Manager
Knowledge of Microsoft tools
